Executive Administrative Assistant
Green Bay Packaging Inc. is a privately owned, diversified paper and packaging manufacturer. Founded in 1933, this Green Bay, WI based paper company has over 3,400 employees and 32 manufacturing locations, operating in 15 states, that serve the corrugated container, folding carton, and coated label markets. The Green Bay Shipping Container Division is an industry leading manufacturer packaging for food, paper, hardware, housewares and furniture industries. We are currently seeking an Executive Administrative Assistant to join our team. This position will work out of our Green Bay location.
Clerical Assistant to the General Manager and provides support to the Leadership Team, various departments, and the Corporate Executive Team as needed. Works closely with the Sales Manager and sales team on an as needed basis. Organizes and supports special events for the Division. DUTIES: Answers sales, administrative, and production telephone calls. Prepares reports, graphs and spreadsheets for team to assist in data driven decision making. Distributes and processes monthly sales analysis to Leadership Team and sales personnel. Assigns, records, tracks and disburses tickets for events. Orders flowers for employees suffering from severe illness or family loss. Coordinates customer, employee meetings, luncheons, i.e. presentations, food, catering, etc. Computes and distributes monthly sales department payroll and bonus computation forms. Organizes service award presentations and recognition activities for employees. Maintains Territory Manager's Market Survey. Prepares presentations and books for customers and will support Senior Leadership in this area occasionally. Sends personnel birthday cards & Christmas cards. Orders promotional items. Distributes incoming/outgoing correspondence for the department. Maintains vacation records for V.P./General Manager's direct reports. Provides some administrative support to HR Manager on a periodic basis. (ex: benefits enrollment) Orders and maintains office supplies, maintains break room and conference rooms.
Requires strong communication skills to deal with all levels of the organization and directly with customers. Must be very well organized. Must be able to maintain a positive attitude regardless of the situation at hand. Must be able to keep sensitive information and other details confidential. Able to think on their feet, respond to short and tight timelines, adjust, and adapt to a fast paced work environment. Desire to continually improve and grow.
